How to Print IRS Form 1099 From Excel (2024)

As a small-business owner, you likely work with IRS Form 1099 a lot, whether it be as an employer paying contractors for their services, or as a contractor doing 1099 work for another business. Unfortunately, the IRS does not make an Excel-friendly version of its 1099 forms freely available for small-business owners to type onto and print themselves.

The IRS does have a printable PDF sample on its website, however. You can actually convert the PDF 1099 form from the IRS website into an Excel spreadsheet for you to type onto and print. Here’s how to do it.

Download the 1099 Form and Convert 1099 to Excel

Begin by downloading the PDF directly from the IRS website. Next, you are going to want to convert this PDF document into an Excel document using a free online converter. There are a few options you can access online to change the IRS PDF into an XLS file. XLS files are the file format for opening documents in Excel, but you can also access them using Google Spreadsheets.

One of the easiest converters to use is FreePDFConvert. You can easily convert your PDF into an Excel document by dragging and dropping it directly onto the website. You do have to wait an hour for your document to be fully converted if you don’t want to sign up for faster downloads, but since you’ll be busy running your business, an hour takes no time at all.

Other options include the websites PDFExcelConverter or ConvertPDFtoXLS. If you use PDFExcelConverter, there is a piece of software you need to download. ConvertPDFtoXLS allows you to upload directly to the website, but you’ll have to provide your email address so the site can send your file to you. FreePDFConvert seems to be the best option of those three, but you if you don't mind using a software solution, you can always use Adobe Acrobat, if you already have a subscription.

Open Your New Excel Doc

Whatever converter you use, save your converted XLS file in a safe place. Usually, this will be where your other tax information and documents are saved on your company computer. Open your newly made XLS file by double clicking it.

This should open Microsoft Excel, where you can now see the document. It should look almost identical to the formatting of the 1099 Form as seen in the PDF, including the first two pages which are not actually for you to fill out. If your converted Excel document does not look like the form on the IRS website, it may be because, due to the unique formatting and spacing of the 1099 form, some boxes may have moved out of place during the conversion process.

Now that the form is an Excel document, it should be as easy to adjust as any other spreadsheet, although some columns and rows will be linked together to keep the document’s original shape intact. To edit the document back into place, go ahead and adjust the spacing of the linked cells or copy and paste any cells that moved around in the conversion. If converted correctly, each box should be fairly easy to edit and type into to fill out yourself.

Save This 1099 Excel Doc as a Template

So you only have to go through the conversion process once, after you have adjusted any parts of your converted 1099 form that were out of place, save this version as a template you can use any time you need to fill out and print a 1099 form from Excel. There are many ways to do this, but here’s an easy one.

Before you fill out any of the boxes, make a copy of this document by going to File and clicking Open. Select your 1099 template from the Open window, and right-click it. You should have an option to Open as Copy or Duplicate. This should create a new version of your template for you to fill out for each individual 1099 document you want to create.

If you want, you can turn this doc into a Master Excel template, and create all your 1099 documents in one xls file. In this instance, all you have to do is copy your template sheet to fill out multiple 1099 forms in the same excel document. To do this, right-click on the sheet that contains your converted 1099 form, and select Move or Copy. Choose the Create a Copy option, and choose where you want to put the copy under Before Sheet, then click OK.

Print Your 1099 from Excel

Now, type your data directly into the form. Once you’ve filled out your 1099 form, if you want to print it directly from Excel, you can print it as you would any other xls document. Go to File, and then select Print.

Since you don’t need to print the Copy A portion of the 1099 document, which includes the first two pages of the 1099 Form provided by the IRS website, you should choose to skip printing those two pages when you go to print your 1099 form. If you want to, you can make life easier on yourself and delete the Copy A section from your template altogether, but be careful to make sure this doesn’t mess up the rest of the document’s formatting.

Also if you used the master Excel template idea above, you’ll need to specify which sheets you will be printing. Select the sheets with the 1099 forms you want to print, then select your printer, and click Print.

Other Options to Edit Form 1099 Docs

There are a few other options if you don’t want to use an online converter. Here are a few of them.

Use a Pre-made Excel Template

There are websites that actually create pre-made templates for you to use in Excel. You can download these templates to your computer and then open them in Excel to fill out your information. However, if you choose to use this method, you will likely need to use a third-party software to convert the template back into the proper 1099 formatting before you file.

Third-Party Developers

There are other third-party services offering paid software to convert an Excel document to a 1099 form and vice versa. However, do your due diligence before choosing one of these developers, as this software can often be unnecessarily costly, glitchy or downright faulty.

The only tried-and-true way to maintain the formatting of the original 1099 format without one of these third-party services is to convert the PDF 1099 document from the IRS into an Excel file.

Use DocuSign to Edit Your Form 1099

If you don’t want to use an Excel converter, but you still want to type directly onto the PDF version of the 1099 Form you downloaded from the IRS, you can upload it to DocuSign and fill it out there. DocuSign lets you digitally sign and fill out documents, and isn’t limited to just your name and signature. Using DocuSign’s custom fields, you can place a text box you can type into over any box on the 1099 form you need to fill out.

This method allows you to digitally fill out your Form 1099 in the same way you would in Excel, without having to go through the trouble of converting the document to an XLS file. It’s a simple work-around, so if the methods above don’t work for you, you can always try this.

DocuSign does cost money depending on what services you want to use, but if you are only filling out your 1099 from your computer and printing it out, then the free version will work fine. DocuSign gives you options to print your form directly from the website, or save it as a PDF to your computer desktop and print from there.
